Privacy Policy
What we do with the information you give us through this website, and the choices you have about it.
Who this policy covers
Ministry Clean is a cleaning company based in Ottawa, Ontario, serving the Ottawa and Gatineau region. This policy covers this website: what we collect through it, why we collect it, who else sees it and what you can ask us to do about it.
It is written to meet the federal Personal Information Protection and Electronic Documents Act (PIPEDA), which governs how we handle personal information, and Quebec's Law 25, which applies to the people we serve across the river.
What we collect
When you send a booking request, we collect what you type into the form:
- your name;
- your phone number and your email address;
- the service you select and, if you give one, your preferred date;
- anything you write in the message field.
We do not take payment through this website, so we never ask for and never collect card or banking details here.
A small amount of technical information is also recorded automatically. Our hosting provider logs the requests this site receives, including the IP address each one came from, and keeps those logs briefly for security and troubleshooting. When you submit the form, your IP address is checked for a moment against recent submissions so that one source cannot flood us — that check is not written to your enquiry, and we do not store your IP address alongside your request.
Why we collect it
For one purpose: to answer your request and arrange the cleaning you asked for. That means calling or emailing you back, confirming the details, quoting the work and booking a time. If the request becomes a job, the record also serves our invoicing and our tax obligations.
We do not sell your personal information. We do not rent it, trade it, or pass it to anyone else for their own marketing.
Your consent
Ticking the box on the booking form is your express consent for us to contact you about that request. Nothing on this site collects your personal information without you typing it in and sending it.
You can withdraw that consent at any time — by phone or by email — and we will stop contacting you. Withdrawal takes effect from the moment you tell us; it cannot undo a message already sent, and it does not reach the records we are required by law to keep for work already carried out.
Cookies and analytics
This website does not need cookies to work, and it sets no advertising cookies of its own. What it does keep is one entry in your browser's local storage, holding a single word: whether you accepted or declined optional tracking. It never leaves your browser.
We may use a basic analytics tool to count visits and see which pages are read. Where we do, it is configured without advertising features, so it measures traffic rather than building a profile of you or following you onto other websites.
Anything that would profile you — advertising, remarketing or similar tracking — stays switched off until you accept it, and we ask before a single request is made. Declining changes nothing about how this site works or your ability to book, and you can change your mind at any time by clearing this site's data in your browser.
Marketing email
We do not run a mailing list. If that ever changes, we will send commercial email only where Canada's Anti-Spam Legislation allows it, every message will carry a working unsubscribe link, and we will act on it promptly.
Who else sees it
Three service providers handle your request on our behalf, each for one job:
- Vercel hosts this website and serves its pages;
- Sanity stores the site's own content, and holds booking requests in a private database that only we can read;
- Resend delivers the email that tells us a request has arrived.
Each is bound by contract to protect the information and to use it only to provide that service. They receive nothing beyond what you typed into the form. Apart from these providers, we disclose personal information only where the law requires it of us.
Where your information is stored
Those providers operate from the United States, so your request is stored and processed outside Canada. While it is there it is subject to the laws of that country, including lawful access by American authorities, and neither we nor the provider can refuse a valid order. We tell you this because you are entitled to know it before you decide to send the form; if you would rather not, the phone number on this site reaches us just as well.
How long we keep it
An enquiry that does not become a booking is deleted six months after you sent it. That is not a promise we keep by hand — a scheduled job runs every night and removes them.
Where the request did become work we carried out, the record is kept for as long as our business and tax obligations require, which for the Canada Revenue Agency is generally six years. You can ask us to delete your details sooner and we will, except for what we are required to keep.
How we protect it
- the whole site is served over an encrypted connection;
- booking requests are kept in a private database, separate from the public content of the website, reachable only with a secret key;
- access is limited to the people who need it to do the work.
No safeguard is perfect. If a breach ever creates a real risk of significant harm to you, we will notify you and report it to the authorities, as the law requires.
Your rights
You can ask us to:
- tell you what personal information we hold about you and what we have done with it;
- correct anything that is wrong or out of date;
- delete it, subject to what we must keep;
- give you a copy in a structured, commonly used format;
- stop contacting you.
Write to us and we will answer within thirty days. No decision about you on this website is made by an automated system: a person reads every request and a person answers it.
Children
This site is meant for adults arranging cleaning for their home or business. We do not knowingly collect personal information from children, and we do not direct any part of this website at them.
Complaints
If you are unhappy with how we have handled your personal information, tell us first — we would rather fix it. If our answer does not satisfy you, you can complain to the Office of the Privacy Commissioner of Canada. If you live in Quebec, you may instead complain to the Commission d'accès à l'information du Québec.
Changes to this policy
If how we handle personal information changes, this page changes with it, and the date at the foot of the page tells you when it was last revised. Where a change is significant, we will say so here rather than leave you to spot it.
Who to contact
Questions about this policy, requests about the information we hold, and complaints all go to the owner of Ministry Clean, who is responsible for the protection of personal information here. The email address and phone number are at the foot of this page and throughout the site.
Questions about this policy, or about the information we hold: info.ministryclean@gmail.com.
